How to Book Our Coffee Cart

We keep the process simple. From first inquiry to event day, most bookings are completed in just a few exchanges.

Step 1: Get Your Quote Fill out our quick booking form with your event date, location, estimated guest count, and service duration. Our pricing is calculated instantly based on these details. Services start at $599.

Step 2: Confirm Your Details Once you receive your quote, we will review your event details together. This is a good time to ask questions, discuss add-ons like custom branding or specialty drinks, and confirm logistics like power access and setup space.

Step 3: Reserve Your Date When you are ready to move forward, we hold your date with a signed agreement. Dates fill up, especially on weekends and during peak seasons, so we recommend booking as early as you can.

Step 4: We Show Up and Take Care of Everything On your event day, we arrive early, set up quietly, and run a seamless coffee service for your guests. When the event is over, we break down and clean up. All you have to do is enjoy it.

Our pricing is based on four factors: how many guests you are serving, how long you need service, event location, and which add-ons you choose. Services start at $599.

Your quote is calculated instantly when you fill out our booking form. There is no waiting 24 to 48 hours for a callback. Most clients have a number in minutes.

A few things that shape your total:

  • Guest count: We recommend planning for roughly 75% of your guests to visit the coffee bar. Not everyone drinks coffee, and not everyone visits during the same window.

  • Service duration: We price by the hour. Most events run 2 to 3 hours of active service. Longer events are no problem.

  • Day and travel: We are based in Framingham and travel throughout the greater Boston area, including all of Dedham and Norfolk County. No travel fees for events in Dedham.

  • Add-ons: Custom branding, cold brew, matcha, and other specialty additions are priced separately. Most clients find the base package covers their guests very well.

  • Our full espresso menu includes lattes, cappuccinos, cortados, americanos, drip coffee, and iced versions of each. We also serve chai, hot chocolate, and our house-made seasonal drinks. Everything is built to order on a commercial espresso machine using George Howell Coffee, a specialty roaster based in Acton, MA.

  • Yes. You can choose from our existing menu or work with us to build a custom drink selection. For weddings at estates and historic venues in Dedham, couples often work with us on a curated menu of 5 to 6 drinks that fits the style of their event. For corporate gatherings, a tighter menu keeps the line moving while still giving guests something well above the usual office coffee.

  • We carry oat milk as our default non-dairy option and can accommodate most common dietary preferences. Our house-made syrups are prepared in a kitchen that handles common allergens, so if a guest has a severe allergy, let us know when you book and we will walk through the specifics with you.

  • We use George Howell's Montecarlos espresso as our base, which is a step above what most catering companies pour. Our syrups are house-made, not pumped from a commercial bottle. And because Ben and Halle make every drink personally, quality stays consistent from the first cup to the last.

Booking & Payment

  • Two to four weeks is a comfortable window for most events. For peak season dates (May through October), weddings at the Endicott Estate, or large corporate events at the Hilton or Dedham Place business center, we recommend reaching out at least four to six weeks ahead. We book on a first-come, first-served basis and weekends fill quickly.

  • Standard bookings start at $599, which includes the cart, a barista (Ben or Halle), the full drink menu, and all supplies. There is no travel fee for events in Dedham or anywhere in MetroWest and most of Greater Boston. Your quote is based on guest count, service duration, and any custom additions.

  • Your quote covers the espresso cart, a full drink menu, all cups and supplies, setup, breakdown, and service by Ben or Halle. There are no hidden fees for equipment or staffing. If you want to add anything beyond the standard setup, like extra service hours or custom branded cups, we will include that in your quote upfront.

  • A deposit is required to secure your date. If you need to cancel, the terms depend on how far out the cancellation happens. We lay everything out in our event service agreement so there won't be any surprises before booking.

  • We are based in Framingham, about 20 minutes west on Route 9 or I-95. There is no travel fee for Dedham events. We are familiar with the area and have served at the Dedham Farmers Market in Dedham Square.
