PTO events and teacher appreciation days are among our most frequent and most personally meaningful bookings. Step 2: We Talk Through the Details We'll confirm the setup specifics, talk through drinks and add-ons, and make sure everything is sorted before you commit. It's a quick conversation and there's no pressure.
Step 3: Deposit Holds Your Date Sign the booking agreement, send the deposit, and your date is locked in. Spring and fall weekends go fast, so if your event is coming up, don't sit on it.
Step 4: Show Up to Your Event That's genuinely all you have to do. We get there early, set up on our own, make great drinks for your guests all night, and clean up when it's over. Your people will be happy. You'll look great for booking us.

Service duration: We price by the hour. Most events run 2 to 3 hours of active service.
Guest count: Not every guest drinks coffee, and not everyone visits at once. We help you right-size the booking.
Location: Most MetroWest towns are within our no-fee service radius. Towns at the outer edges of the region may carry a small travel fee, shown clearly in your quote.

The cart and support table take up a 6x6 ft footprint. We need roll-in access at ground level or via a freight elevator, and a dedicated 15-amp circuit with an outlet within 25 ft. If your venue does not have accessible power, we can bring a generator.

Both. We serve events at office parks, conference centers, and private venues throughout the MetroWest region. For outdoor events in Framingham, Natick, Hopkinton, and surrounding towns, we can bring a 12x12 ft tent so the setup is covered and weatherproof.

Ben and Halle run every event personally. There is no third-party staff, no staffing agency, and no coordinator you have not already spoken with. The people you book with are the people who show up on event day.

Plan for roughly 1 hour before service starts and 1 hour after. We are often quicker than this but like to leave a buffer for more unique setups. We handle all of it. You do not need to arrange any additional labor or venue staffing for the cart.

Yes. Our single-barista setup serves roughly 50 drinks per hour, which works well for events up to around 100 to 150 guests. For larger events at office parks along Route 9 or Route 30, we bring a second barista, which puts throughput at around 100 drinks per hour. We size the service to the guest count when you book.

The base menu covers espressos, americanos, cappuccinos, lattes, and iced drinks. House-made syrups are included, such as Halle's Morning (a vanilla latte syrup made with organic ingredients), cinnamon sugar, and a rotating seasonal option made from scratch.

Whole milk and oat milk are standard at every event. Almond milk and other dairy alternatives are available with advance notice. Decaf espresso is available as an add-on and is complimentary for evening events.

Yes. Add-ons include cold brew, matcha lattes, chai lattes, specialty drip coffee, and hot chocolate for events with younger guests. If you want something unique, we offer a custom signature drink developed specifically for your event for $100. Custom cup branding and custom cart branding in your colors are also available with two weeks notice.

We source specialty coffee from renowned local roasters including George Howell Coffee Company, a Massachusetts roaster with a long-standing reputation for sourcing quality. Ben and Halle have a direct relationship with George Howell, which means the coffee selection is intentional, not a commodity pick.

For corporate events and private gatherings in the MetroWest area, booking a few weeks out is usually fine. As soon as you know your date, reach out. We limit our availability to maintain quality, and popular dates fill up. Two weeks of lead time is typically enough for weekday events and off-peak weekends, but peak season weekends book further out. That said, we always try to accommodate last-minute requests, so don't hesitate to reach out even if your event is close.

No travel fee for most MetroWest towns, including Framingham, Natick, Hopkinton, Ashland, Holliston, Southborough, Wayland, and Sudbury. If your venue is further out, we will tell you upfront. No surprises on the invoice.

Starting at $599, the package covers unlimited specialty espresso drinks for your guests, professional baristas, house-made syrups, single-origin specialty coffee, all cups and lids, water supply, and full setup and breakdown. The hourly rate beyond two hours is $200 per barista.

Because we limit our availability and begin preparing specifically for your event well in advance, our cancellation terms reflect the time and resources committed. All cancellations must be submitted in writing. If cancelled more than 14 days prior to the event, the deposit is refunded minus any non-recoverable expenses already incurred. All additional payments beyond the deposit are refunded in full.

Yes. Solarium Coffee is based in Framingham, at the center of the MetroWest region. This is home territory for us, and it means shorter lead times, zero travel uncertainty, and a team that knows the venues, office parks, and event spaces in this area well.

Yes. Solarium Coffee carries liability insurance. This is standard and required for most corporate venues and event spaces. If your venue or event coordinator needs a certificate of insurance, just let us know and it can be provided.

The short answer is that Ben and Halle show up to every event. There is no crew you have not met, no last-minute substitution, and no drop in quality because the owners are not watching. The coffee is single-origin and personally selected. The syrups are made from scratch. The 5.0-star rating on Google reflects what that combination produces for clients.

Generally yes, though venue policies vary. If your venue has a preferred vendor list or requires coordination with in-house catering, let us know when you book. We have handled this before and can work directly with venue contacts to confirm logistics.
