Coffee Catering in Worcester, MA
Owner-Operated by Ben and Halle | Services Start at $599 | 5.0 ★ (50+) Google Reviews | Specialty Coffee from Local MA Roasters
Worcester is about 40 minutes west of our Framingham home base, a straight shot on the Mass Pike. A small travel fee applies for Worcester events, and it is shown clearly in your quote before you commit to anything. We have served events as far west as Springfield, so the drive to Worcester is well within our range and one we are happy to make.
As the second-largest city in New England, Worcester has an event landscape that looks nothing like the suburbs we serve closer to home. The Canal District and Shrewsbury Street corridor bring a growing hospitality and dining scene. The concentration of universities, from WPI and Holy Cross to Clark and UMass Chan Medical School, creates a steady calendar of donor receptions, alumni weekends, commencement receptions, and faculty events. The corporate and health sciences employers around UMass Memorial and the Gateway Park innovation district add a layer of professional events that most mobile coffee vendors never think to target.
The espresso we serve comes from George Howell Coffee Company, a Massachusetts roaster with a national reputation for single-origin quality. This is not commodity coffee purchased through a distributor. It is a sourcing relationship built on a shared standard for what specialty espresso should taste like. Your Worcester guests get the same coffee quality that a serious coffee drinker would seek out at a dedicated specialty cafe.
Services start at $599, and your quote includes everything: espresso, baristas, cups, syrups, setup, and breakdown. The travel fee for Worcester is small, transparent, and visible in your quote before you sign anything. Get your free quote here.
Our Most Popular Services in Worcester
Here are the most popular event types we book. If you don’t see yours here, check out all our services.
Corporate Coffee Catering
Worcester's corporate and institutional employers make it one of Central Massachusetts' most active markets for workplace events. UMass Memorial Health Care, the biotech and life sciences companies around Gateway Park, and the professional services firms along I-290 all run employee appreciation days, client meetings, and team events that benefit from something more memorable than a coffee carafe on a folding table.
Ben and Halle arrive before your first attendee, run clean and efficient service, and leave your space exactly as they found it. For corporate events, that means no disruption to your lobby, conference room, or atrium. The cart's 6x6 ft footprint fits comfortably in most office common areas and hotel event spaces, including the AC Hotel Worcester and the Beechwood Hotel.
Corporate clients who want branded elements can add:
Custom cup printing with a company logo ($150, 2 weeks notice)
A custom signature drink developed for the event ($100)
Full cart branding in company colors ($300, 2 weeks notice)
Wedding Coffee Cart
Worcester and the surrounding towns offer wedding venues with genuine architectural character that Boston prices have pushed out of reach for many couples. Mechanics Hall, built in 1857, is one of the most distinctive event spaces in New England. Tuckerman Hall, the Higgins Armory event space, and estate venues in Holden, West Boylston, and Sutton round out a wedding venue landscape that ranges from historic grandeur to rustic countryside.
A coffee cart at a Worcester wedding typically serves after dinner, giving guests a reason to linger before or during dancing. Ben and Halle set up quietly during dinner service and run the bar through the evening. Guests order handcrafted lattes, cappuccinos, and espresso drinks made with George Howell single-origin espresso and house-made syrups, including Halle's Morning, the signature vanilla latte that regulars ask for by name.
The cart's compact footprint works in ballrooms, barn venues, tented receptions, and historic halls. For outdoor weddings, Solarium brings a 12x12 ft tent and generator if needed.
Private Celebrations
Worcester's residential neighborhoods, from the historic homes of Elm Park and the West Side to the quieter streets of Tatnuck and Greendale, host birthday parties, anniversary celebrations, graduation parties, and bridal showers throughout the year.
Solarium's cart fits in a driveway, a backyard, a living room, or a garage with the door open. All we need is a 6x6 ft area and a dedicated 15-amp outlet (we bring a 25 ft extension cord). For outdoor setups without power access, we bring a generator.
The setup makes a private party feel like an event, not just a gathering with better-than-usual coffee. Guests order individually, choose from a full menu of espresso drinks, and get latte art and house-made syrups that they will not get from any caterer pouring drip coffee from an urn. Learn more about private event coffee catering.
University and Institutional Events
With WPI, College of the Holy Cross, Clark University, Assumption University, and Worcester State all within city limits, Worcester has one of the densest concentrations of higher education in the state. These schools run donor dinners, alumni weekends, commencement receptions, and faculty events throughout the academic year.
A specialty espresso bar adds something guests remember. For a donor reception at Holy Cross on Mount St. James or a homecoming event at WPI, the coffee cart becomes the gathering point, not just a refreshment station. Ben and Halle handle every aspect of the service, from loading in through cleanup, so your event staff can focus on the program.
This service type also works well for hospital and health system events at UMass Memorial and surrounding medical campuses. Learn more about conference and event coffee catering.

BOOKING PROCESSNever Hired a Coffee Cart Before? Here's Exactly How It Works
Step 1: Start With a Quote (It Takes Two Minutes) Fill out our short booking form with your event date, location, approximate number of guests, and how many hours you need. We'll calculate a price based on those specifics and get back to you fast. Events start at $599.
Step 2: We'll Walk Through It Together If you have questions about what's included, how much space we need, or what drinks we can make, this is when we answer all of that. There's no pressure. We want you to feel completely clear on what to expect before you commit to anything.
Step 3: Reserve Your Spot A signed agreement and a deposit hold your date. That's it. Once that's in, you don't need to do much else on your end.
Step 4: We Handle Everything From There We arrive before your event starts, set up our equipment, serve your guests with real care and skill, and clean up completely when we're done. You don't manage us on the day. You just enjoy your event while your guests enjoy genuinely great coffee.
HOW OUR SERVICE IS PRICEDPricing and Capacity
Our pricing is based on the length of your service window, your estimated guest count, event location, and any add-ons you select.
Services start at $599.
When you fill out our booking form, you receive a price in minutes, not a callback 24 hours later. If you want a rough estimate before filling out the form, call or email us and we will give you a ballpark right away.
A few things that shape your Worcester coffee catering quote:
Service duration: We price by the hour. Most events run 2 to 3 hours of coffee service.
Guest count: Not every guest drinks coffee, and not everyone visits at once. We help you right-size the booking so you are not overpaying.
Add-ons: Custom branding, cold brew, matcha, chai, and other options are available upon request. Most clients find the base package covers their event well.
Location: A small travel fee applies for Worcester events. It is shown in your quote upfront.

If you are unsure about your venue's setup, Ben and Halle will confirm logistics with you during the planning call.

Yes. We serve outdoor weddings, backyard parties, and campus events. For venues without accessible power, we bring a generator. For events without overhead cover, we bring a 12x12 ft tent. Both are available as add-ons.

Ben and Halle, always. Solarium is owner-operated. The people you communicate with during planning are the same people behind the bar on event day. There is no staffing agency, no day-of substitution, no crew you have never met.

Three things. First, Ben and Halle run every event personally. You will not be handed off to a random barista. Second, the espresso is from George Howell Coffee Company, not a commodity roaster. Third, every syrup on the menu is made from scratch in our kitchen, not pumped from a commercial bottle. The 5.0-star Google rating reflects all of this.
