How Booking Solarium Coffee Works
Step 1: Get Your Free Quote
Fill out our booking form with your event date, Framingham location, estimated guest count, and service window. A price comes back in minutes, not a callback 24 hours later.
Step 2: Talk Through the Details
You will speak directly with Ben or Halle. Walk through any add-ons you are considering and confirm logistics like space and power access. Framingham is familiar territory for us at this point, which makes this step quick. If your event is at a venue we know, we can often confirm logistics without a site visit.
Step 3: Reserve Your Date
Your date is held once a booking agreement is signed and a deposit is received. Spring and fall weekends fill up early, sometimes months in advance. Framingham's spring PTO season and fall corporate calendar are busy stretches worth booking ahead.
Step 4: We Handle the Rest

Yes. Solarium Coffee is a Framingham business. Ben and Halle live and work here. When you book Solarium for a Framingham event, you are getting your neighbors, not a vendor commuting in from a distant home base.

The cart needs a 6x6 ft footprint (cart plus support table), a dedicated 15-amp circuit, and ground-level roll-in access or freight elevator access. Solarium brings a 25 ft extension cord. For outdoor Framingham events without accessible power, a generator add-on is available.

Yes. Callahan State Park, Cushing Memorial Park, and other Framingham outdoor spaces work well with the cart. For events without nearby power, the generator add-on covers you. A 12x12 ft tent is also available for outdoor setups.

Yes, Solarium is familiar with Framingham's main event venues. Ben and Halle will work directly with your venue to coordinate setup details, power access, and any logistics specific to that space. Just let us know your venue when you fill out the booking form.

The premium coffee catering menu includes espressos, americanos, cappuccinos, lattes, iced lattes, matchas, and seasonal and signature offerings. House-made syrups come with every booking. Cold brew, chai lattes, and specialty drip coffee are available as add-ons.

Yes. Matcha lattes and chai lattes are available as add-ons. For Framingham school events or events with younger guests, hot chocolate is an option too. Whole milk and oat milk are standard. Almond milk and other alternatives are available with advance notice.

Yes. Solarium offers signature drink development. This is popular for product launches, branded activations, and employee appreciation events where the coffee experience is part of the brand moment. Custom cup branding is also available.

No. There is no travel fee for Framingham events. Framingham is Solarium's home base.

As soon as you know your date, reach out. We limit our availability to maintain quality, and popular dates fill up. Two weeks of lead time is typically enough for weekday events and off-peak weekends, but peak season weekends book further out. That said, we always try to accommodate last-minute requests, so don't hesitate to reach out even if your event is close.

A booking agreement and deposit are required to hold your date. Once both are received, your date is confirmed and you are done until event day.

Solarium Coffee is owned and run by Ben and Halle, and we are personally involved in planning every event we book. Most of the time, one or both of us is the barista on site. For larger events or when our schedule requires it, we are joined by a trained team member who has been brought up directly by us. Whoever is at your event is held to the same standard of service that we are.

When we bring in additional help, that person has been trained directly by us. You're not hiring a company that dispatches a stranger on your event day. Second, the coffee is genuinely specialty grade. We serve single-origin espresso from roasters like George Howell Coffee Company, not commodity beans from a food service distributor. Third, every syrup is made from scratch. The result is a noticeably better cup of coffee served by people who actually care about your event going well.

Yes. Ben and Halle will reach out to your venue directly to confirm setup logistics, power access, and any venue-specific details. This is standard for every booking.

Yes. Solarium Coffee carries liability insurance. This is standard and required for most corporate venues and event spaces in Framingham. If your venue or event coordinator needs a certificate of insurance, just let us know and it can be provided.
